  • Record names of members of the public who find hedgehogs.

  • Record the location the hedgehog was found.

  • Record locations of hedgehog releases.

  • Record details of our volunteers and hedgehog fosterers.

  • Map and track where hedgehogs are found, fostered and released.

  • Fulfil website orders including your name and address for billing and shipping and the IP address used to connect your computer to the Internet. For these purposes we may contact you via email or postal mail.

  • Reply to your requests by email, Facebook and Facebook Messenger to arrange visits to your organization.

  • Personalise your experience on our website.

 

The legal basis that we rely on to process your personal data is article 6(1)(f) of the General Data Protection Regulation (UK GDPR), which allows us to process personal data when this is necessary for our legitimate interests.

  • Details of your charitable donations are kept for 10 years.

  • Details of members of the public who find hedgehogs are kept for 10 years.

  • Details of the public who have released hedgehogs are kept for 10 years.

  • Details of volunteers and hedgehog fosterers are kept for 3 years after you have volunteered with us.

  • Website order data is kept for 3 years.

  • Visit and contact data is kept for 3 years.

  • Data protection rights requests are kept for 3 years.

 

Storing and sharing your information

We ensure your personal data is kept confidential by storing it on our systems, which are protected by organisational and technical security measures.

We have processes and checks in place to ensure that data that needs to be kept up-to-date is maintained, for example, our records of volunteers and hedgehog fosterers.

We never pass on your details to third parties other than to comply with any legal or regulatory obligation or to securely fulfil online payments.

We may publish news articles and social media campaigns that include anonymous and aggregated data. We produce anonymous information for research purposes, which may be provided to university and other researchers and published.

However, we only use third party suppliers who assure us that they take the necessary measures to ensure protection of your personal data in accordance with data privacy laws. Your data may be stored through Wix.com’s data storage, data bases and the general Wix.com applications.

All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

Data is held securely so that it can only be accessed by those who have the right to do so.  For example, access to online folders in shared drives is restricted to those who need access to the data and IT systems are password protected.

Our IT systems have anti-virus and firewall protection that is up-to-date.

Our staff understand what they must and must not do to protect personal data, for example, using strong passwords that are not written down or shared.

Spreadsheets containing personal data are password protected.

We will information the Information Commissioner of any data breaches within 72 hours of becoming aware of the breach.
